These Terms & Conditions set out the agreement between Whimsy Woods Day Nursery (“we”, “us”, “our”) and parents or carers (“you”) who use our childcare services.

By registering your child or using our services, you agree to these terms.

Registration & Places

A completed registration form must be submitted before your child can start.

Places are offered subject to availability and receipt of all required information.

A settling-in period is provided to help your child transition comfortably into nursery life.

We reserve the right to withdraw or refuse a place if we are unable to meet a child’s needs safely or appropriately.

Opening Hours & Sessions

Our opening hours and session times will be confirmed during registration.

Wrap-around care is available and must be booked in advance.

Late collection may incur an additional charge to cover staffing costs.

Fees & Payments

Fees are provided in advance and are payable monthly unless otherwise agreed.

Fees are payable during holidays, absences and sickness.

Notice periods apply when reducing sessions or leaving the nursery.

We reserve the right to review and amend fees with reasonable notice.

Illness & Absence

To protect the wellbeing of all children and staff:

Children should not attend nursery if they are unwell or contagious.

We follow Public Health and EYFS guidance regarding exclusion periods.

Parents must inform us as soon as possible if a child will be absent.

Safeguarding & Welfare

We follow the Early Years Foundation Stage (EYFS) framework and all safeguarding regulations.

Our team is trained to safeguard children and promote their wellbeing.

Any concerns regarding a child’s safety will be handled in line with our safeguarding policy and legal obligations.

Medical Needs & Allergies

Parents must inform us of any medical conditions, allergies or dietary requirements.

Medication will only be administered with written consent and in line with our policies.

We cannot accept responsibility for undisclosed medical information.

Behaviour & Respect

We promote a calm, nurturing environment where children are supported with care and understanding.

We ask that all communication between parents, carers and staff remains respectful and constructive.

We reserve the right to terminate a placement if behaviour from a parent or carer is deemed abusive or inappropriate.

Photography & Observations

We may take photographs or observations of children for learning records and EYFS requirements.

Written consent will always be obtained before photographs are used for marketing or social media.

Parents can withdraw consent at any time.

Data Protection & Privacy

We handle personal data in line with our Privacy Policy and UK GDPR.

All information is stored securely and used only for nursery-related purposes.

Changes to These Terms

We may update these Terms & Conditions from time to time.

Parents will be given reasonable notice of any significant changes.
