Thank you for your interest in Whimsy Woods Day Nursery.

This registration form helps us get to know your child and your family, so we can provide the best possible care and support from the very beginning.

The form is divided into clear sections and should take around 10–15 minutes to complete. All information shared will be treated with care and confidentiality.

In order to ensure the correct provision is made for your child, it is vital that you inform us of any relevant special needs information.

Hours of opening – Whimsy Woods is open between 7:30am – 5:30pm Monday to Friday. The nursery will be closed on Bank Holidays and for one training day per year. These sessions are still chargeable, and we cannot accommodate session swaps for these missed sessions. Whimsy Woods will also be closed for two weeks over the Christmas period; only Bank Holidays will be chargeable during this period.

Payment of fees – Nursery fees are paid a month in advance and must be paid by the 10th of each month via bank transfer only. Late payment may result in the termination of your contract. Fees will be reviewed annually and may increase. One month’s fees must be paid at the time of registration to secure your child/children’s place. This will act as a deposit and will be held on your Famly app account and credited back one to two months before your child leaves to put towards your final one or two bills. The deposit will only be calculated on chargeable days and NOT on the government funded hours. Everyone is required to pay a registration fee of £100 to secure your child/children’s place and register for the Famly app. The deposit and registration fee are non-refundable.

Arrival and collection – All children must be placed into the direct care of the nursery staff on arrival. Nursery staff will only release the child into the care of a parent/carer they have met before and if permission has been given by the main guardian of that child. A child may only be collected by someone else if parents notify nursery staff in advance and the collector provides the password stated on the registration form.

Late collection – If a child is collected late from Whimsy Woods, there will be a fixed charge of £1 per minute. Whimsy Woods will consider traffic and train delays, and the late collection fee may not be charged on these occasions. Parents are strongly advised to arrive at least 10 minutes early to ensure a thorough handover and prompt departure for both children and staff.

Information, permissions and policies & procedures – When your child/children are enrolled at Whimsy Woods and added to the Famly app, all parents/carers are required to complete all information on the child’s profile and parental permissions. It is the responsibility of parents/carers to keep this information up to date and notify nursery staff of any changes. All policies will be available in the document section of the Famly app.

Clothing and personal property – All children’s items must be clearly labelled. Whimsy Woods does not accept responsibility for the loss or damage of personal belongings brought onto the premises. Parents/carers are responsible for providing:

  • Spare clothes
  • Water bottle
  • Wet suit, hat, gloves and wellies (if needed)
  • Coat
  • Nappies
  • Wipes, nappy cream and suncream (the nursery provides Asda’s own brand wipes, suncream and Sudocrem. If your child can use these products, you will not need to provide alternatives)

Absences – Parents/carers are asked to notify the nursery if their child is on holiday or absent. In the event of absences, pre-booked or otherwise, fees cannot be refunded and alternative sessions cannot be offered.

Illnesses and administration of medicine – Any child who is unwell cannot attend nursery. Please refer to Whimsy Woods’ sickness and exclusion policy for guidance regarding illness. All first-aid-trained staff may administer Calpol on some occasions.

Childcare records – All nursery records relating to your child must be completed and returned to Whimsy Woods prior to the child’s start date. As the nursery premises do not have office facilities, by signing this document you agree that all staff with an enhanced DBS check may access key child-related information and photos from a home device.

Notice – One month’s notice must be given in writing if you wish for your child to leave the setting. The nursery reserves the right to exclude a child for any breach of contract, including late payment of fees.
